Before you begin
Existing room-device users
If your organization already installed and configured M Host, use the room device itself to connect Zoom. The next section lists the exact path in M Host settings.
New customers
M Host is provided through organization-led onboarding. This website does not provide a public installer. Contact NovaMeet for room setup and access.
Before connecting Zoom, make sure you have:
- administrator access to the room device and its M Host settings;
- a permitted Zoom account and any approval required by your Zoom administrator;
- working network access; and
- the camera, microphone, speakers and companion display required by your room setup.
Feature availability. Meeting types and controls depend on the installed release, room configuration, Zoom account, meeting role, administrator policy and connected services.
Connect on your room device
Complete these steps in M Host on the Windows room device. This website does not connect or authorize a Zoom account.
- Open Settings in M Host and enter the administrator PIN.
- Select Conferencing, then Zoom.
- Under Connect to Zoom, choose Zoom user sign-in.
- Complete Zoom sign-in, review the requested access and authorize the intended account.
- Confirm the Zoom card says Signed in — tap to sign out.
Approval may be required. Your Zoom administrator may need to approve M Host before authorization can finish.
Start or join a meeting
Start an instant meeting
Choose Start a meeting, select Zoom, check the available camera and microphone options, then start the meeting. M Host uses the connected identity configured for the room.
Join with a meeting ID
Choose Join with ID, select Zoom, enter the meeting ID and passcode, then join. Follow any waiting-room instructions.
Join from a calendar
If a calendar is configured, select the meeting card for the scheduled event. M Host uses the Zoom join information in the event. Calendar connection is separate from Zoom user sign-in.
Meeting controls
- Camera and audio: Manage the available camera, microphone and speaker controls.
- Room display: Show the meeting on the configured companion display.
- Share to Call: When companion-display content is available, select Share to Call to send it into the Zoom meeting. Select Stop Sharing to end the active share. If no display content is available, ask your administrator to check the room display setup.
- Chat: Open Chat to view received messages and, when permitted, send a message to everyone in the meeting.
- People: View participants and use participant or waiting-room actions available to your role.
- Raise Hand: Signal that you want the host’s attention.
- Record: Select Record to request recording when permitted. M Host requests Zoom cloud recording first and may use local recording when cloud recording is unavailable. Starting recording also attempts transcription. Select Stop recording to stop both recording and transcription. Cloud recording depends on Zoom permissions and settings; ask your room administrator where any local recording is stored.
- Transcribe: Use Transcribe only while recording is active. Select Stop transcription to stop transcription while recording continues. Stopping the recording also stops transcription. Available transcription output depends on the Zoom account, room configuration and meeting policy.
- Leave: Leave the meeting on this device. This does not end the meeting for everyone.
Send a meeting invitation
When the room calendar and email integration are configured, use the invitation control to enter recipient email addresses and send the current meeting details through the configured room mailbox. Sent messages may be retained by the mailbox. Check recipients before sending and do not forward meeting details to people who should not have them.
Sign out and remove M Host
Sign out on the room device
- Open Settings in M Host and enter the administrator PIN.
- Select Conferencing.
- Choose the signed-in Zoom card to start sign-out.
- Confirm the card returns to Not signed in.
Local sign-out clears locally stored connection credentials and attempts to revoke the user authorization. Network or service errors can prevent immediate remote revocation, so complete the Zoom Marketplace step below as well.
Remove the authorization in Zoom
- Sign in to the Zoom App Marketplace with the account that authorized M Host.
- Open Manage, then Added Apps.
- Select M Host, choose Remove and confirm.
- Sign out on any other M Host room devices that used the same connection.
If your organization configured a separate administrator-managed Zoom connection, local user sign-out does not deactivate that app or revoke its credentials. The responsible Zoom administrator must manage that access separately.
To remove room software, follow your organization’s approved process. The installed package name and uninstall steps can vary by deployment.
Data after removal
Signing out on the room device, removing M Host in Zoom and uninstalling room software are separate actions. They do not automatically delete every recording, diagnostic log, backend event, calendar record, sent invitation, browser profile or support record.

Troubleshooting
Sign-in or authorization fails
Check that you selected the intended account and ask your Zoom administrator whether M Host approval is required. Return to Conferencing settings and retry. If it continues, send sanitized error text to support.
A meeting will not start or join
Confirm the meeting ID and passcode with the organizer, check network access and the connected account, and review any host or administrator restrictions.
Camera or audio fails
Check physical connections, selected devices, mute settings and Windows privacy permissions. Another application may already be using the camera or microphone.
Sharing, recording or transcription is unavailable
Check the meeting role, Zoom account policy and companion-display setup. Transcription requires active recording in this release.
A removed account still looks connected
Sign out locally and remove M Host from Added Apps in Zoom. A stale device indicator is not proof that authorization remains active. Contact support if the status does not update.
