Scope
NovaMeet provides M Host, a Windows room-device application for Zoom meetings. This policy applies to information handled through M Host, services configured with it, this website and support requests.
Your organization may manage the room device, accounts and connected services. Its privacy policies and agreements may also apply. Zoom and other connected services handle information under their own policies.
Information we handle
Account connection
When Zoom user sign-in is used, M Host handles account identifiers, email address, display name, account status and authorization information needed to connect the account. Authorization tokens and connection records are stored locally on the room device. Device-linked connection status may also be sent to the configured management service.
Meetings and room controls
M Host may handle meeting IDs, titles, join information, passcodes, participant and waiting-room information, chat, meeting activity and control actions. It also processes camera, microphone, speaker and shared content needed for the meeting features you use. Received chat is held in the active in-memory meeting state and clears when that meeting state resets.
Recording, transcription and optional features
When enabled and permitted, recording and transcription features process meeting content. Recordings may be handled by Zoom or stored locally on the room device, depending on availability and configuration. Zoom, your organization and customer-controlled systems handle their copies under their own settings and policies. Calendar and invitation features may process event details, organizers, attendees, join information and selected recipient addresses.
Device and diagnostic information
M Host may create local logs and send device identifiers, timestamps, meeting and sharing activity, control actions, errors and device-health measurements to a configured management service. Meeting or participant details can appear in diagnostics when needed to describe an event or error.
Website and support
We receive the contact details and information you choose to include when you email NovaMeet. Standard web hosting logs may include an IP address, browser details, requested page and timestamp for security and operation of this site. This site does not use advertising cookies or offer account sign-in.
How we use information
We use information to:
- connect authorized Zoom accounts and provide requested meeting functions;
- operate configured room, calendar, invitation, sharing, recording and transcription features;
- maintain device connection status and diagnose errors;
- protect the application, website and connected services;
- respond to support, privacy and access requests; and
- meet legal obligations and enforce applicable agreements.
NovaMeet does not sell or rent Zoom-derived personal information. We do not use Zoom-derived personal information for advertising profiles, surveillance or reconstructing de-identified profiles.
Retention and deletion
Local connection data
Zoom connection records remain on the room device between sessions. Device sign-out clears the local user connection and attempts to revoke its authorization. Removing M Host from Zoom is a separate step.
Active meeting data
The active in-memory chat collection clears when meeting state resets. Copies held by Zoom, meeting participants or customer-controlled systems follow their own settings and policies.
Recordings and transcription
Recordings may be held by Zoom or stored on the Windows room device. Their retention, and the retention of any transcription output, is controlled separately by Zoom, your organization or the systems where those records are stored.
Diagnostics, services and support
Signing out, removing M Host from Zoom or uninstalling room software does not automatically purge diagnostic logs, management-service history, calendar records, sent invitations, browser-profile data, support correspondence or backups. Retention varies by record type, deployment and the policy of the organization or service that controls it.
Request deletion. Email support@novameet.live. Include enough account, device or interaction detail to help locate the information. Do not send passwords, tokens, PINs, meeting passcodes or full meeting links.
Your choices and rights
You can sign out of Zoom in M Host and remove the M Host authorization from your Zoom App Marketplace account. The M Host Zoom guide explains those steps.
Depending on where you live, you may have rights to access, correct, delete or obtain a copy of your personal information, or to object to or restrict certain processing. You may also have the right to withdraw consent or complain to a data-protection authority. To make a request, email support@novameet.live. We may need to verify your identity, authority and relationship to the relevant organization.
Changes to this policy
We may update this policy as M Host, our practices or legal requirements change. We will update the effective date on this page and provide other notice when required.
